The short answer

A small recruitment agency needs a CRM or ATS, candidate data with contact details, a sequencer for outreach, and a phone with call notes. At list prices on 30 Oct 2026, an example stack cost $383 a month for one recruiter and $1,239 for five. hyreflow, the AI recruitment assistant inside Claude, can replace the contact-data subscription and LinkedIn Recruiter's search. The CRM, the sequencer and InMail stay.

  • A small agency pays for four jobs in software, the CRM, candidate data, outreach and the phone, plus an AI assistant such as Claude.
  • At monthly list prices on 30 Oct 2026, the example stack cost $383 a month for one recruiter, $771 for three and $1,239 for five.
  • LinkedIn Recruiter Lite, ZoomInfo, JobAdder and several CRMs' top plans had no public price on 30 Oct 2026, so totals including them are estimates.
  • hyreflow can replace the contact-data subscription and the search in LinkedIn Recruiter. The CRM, the sequencer, the phone and InMail stay.
  • hyreflow charged per workspace with unlimited users on 30 Oct 2026, so its line stays flat as the team grows while per-seat lines rise.

A small recruitment agency runs on four kinds of software. It needs a CRM or ATS, candidate data with contact details, an outreach sequencer, and a phone with call notes. Recruiters also use AI tools: 1.36 on average in the first quarter of 2026, up from one in 2024. The figure counts AI tools of any kind. It comes from Prodoscore, a platform that tracks recruiter productivity, in a report published by the American Staffing Association.

What does recruitment agency software cost per month?#

On 30 Oct 2026, an example small-agency stack cost $383 a month for one recruiter, $771 for three and $1,239 for five. Billed annually, the same stack came to $306, $628 and $1,010 a month on that date. The table prices one published plan for each job, and the sections below list the alternatives.

Prices are US list prices before tax, billed monthly, from each vendor's pricing page on 30 Oct 2026. Brackets show the monthly price on annual billing. Recruit CRM, Apollo and lemlist stand in for their category because they publish both prices; they are examples and not a recommendation.

The total leaves out three lines with no public price on 30 Oct 2026: LinkedIn Recruiter Lite, LinkedIn Recruiter and ZoomInfo. It also leaves out email, accounting and job advertising.

Other estimates run higher because they count those lines. Spott, which sells an agency ATS and CRM, estimates $100,000 to $140,000 a year for a 10-person US firm (post dated 10 Jul 2026). Spott prices LinkedIn Recruiter and ZoomInfo at figures buyers reported, so the two estimates describe different stacks.

UK agencies pay several of these lines in pounds. On 30 Oct 2026, Aircall's pricing page listed Essentials at £30 per licence a month, or £25 billed annually, with the same 3-licence minimum. CRM prices in pounds are in the next section.

How to price your own recruitment tech stack#

  1. List every subscription and its seats

Pull three months of card and invoice statements. Write down the seats on each tool, not only the plan name.

  2. Sort each tool by the job it does

CRM or ATS, candidate data, LinkedIn, sequencer, phone, notes, AI assistant. Two tools doing one job are the first place to save.

  3. Check minimums and contract terms

On 30 Oct 2026, Aircall required 3 licences, Atlas ran every plan on a 12-month commitment, and Apollo's Organization plan needed 3 seats.

  4. Price the per-seat lines at your real headcount

A per-user price grows with every hire. A flat price, such as lemlist's Email plan, does not.

  5. Mark the lines a connected assistant can cover

Contact data and candidate search can move to an assistant's credits. The CRM, the sequencer and the phone stay where they are.

How should a small agency choose a recruitment CRM or ATS?#

A small agency should compare recruitment CRMs on price per user, contract term, and whether other tools can write to them. The CRM is the system of record, so an AI assistant connects to it and leaves it in place.

Features an agency needs can sit above the entry plan. On 30 Oct 2026, Bullhorn's pricing page listed its recruitment CRM (sales pipeline) under the Pro plan, not Starter or Core. Pro is priced by quote. A side-by-side of the agency CRMs is in the best CRM for recruitment agencies.

hyreflow, the AI recruitment assistant covered below, reads from and writes to Bullhorn, Recruit CRM, Loxo, Vincere, Crelate, Atlas and JobAdder with your own account. Bullhorn connects with the API user credentials Bullhorn issues you: a Client ID, Client Secret, username and password. On 30 Oct 2026 that worked on every plan, Free included. The Free plan capped each integration at 100 requests a month. A finished shortlist then lands in the system you already use, without duplicates (load a shortlist into your ATS).

Where do recruitment agencies get candidate data and contact details?#

Recruitment agencies get candidate data from LinkedIn, from contact-data tools that sell emails and mobile (cell) numbers, and from their own CRM. LinkedIn and the contact-data tool are usually two separate subscriptions.

Apollo and ZoomInfo each have their own breakdown: Apollo pricing for recruiters and what ZoomInfo costs a recruiter. Job boards, referrals and the other places candidates come from are covered in candidate sources for recruitment agencies.

What do a sequencer and a phone system add to an agency's stack?#

A sequencer sends a timed series of emails, and on some plans LinkedIn steps, from your own mailbox to many candidates or clients at once. A phone system records and logs calls. Recruiters spent 286 minutes a week on calls in the first quarter of 2026, twice the figure two years earlier (ASA and Prodoscore).

hyreflow does not send email outreach itself. It loads a list into your own sequencer, such as lemlist or Instantly, and the sequencer sends. With Aircall or JustCall connected, hyreflow can also send a text from your own number (30 Oct 2026). Review is the default, and a run can also go fully automatic (build an outreach sequence).

After a recorded call, hyreflow can read the Fathom or Granola notes through your own account. It then writes a note to the candidate's record in your CRM (interview notes to the ATS). Granola needs its Business plan for this.

Which subscriptions can an AI assistant like hyreflow replace?#

hyreflow, the AI recruitment assistant that runs inside Anthropic's Claude and OpenAI's ChatGPT, can replace the contact-data subscription and the search part of LinkedIn Recruiter. It cannot replace the CRM, the sequencer, the phone, InMail, or the AI assistant it runs in. The category itself is explained in what an AI recruitment assistant is, and connecting it to Claude in how to source candidates with Claude.

The Claude row adds a cost. On 30 Oct 2026, Claude Pro cost $20 a month, or $17 billed annually. Anthropic's connector guide said on the same day that Free users can add one custom connector. Both cost tables count Claude Pro in every row for that reason.

What a real hyreflow run cost on 30 Oct 2026#

One run shows what the contact-data line costs on credits. On 30 Oct 2026, hyreflow searched for 10 senior data engineers in Leeds and looked up a personal email for each. The calls ran directly through hyreflow's tools, as Claude would run them for the prompt below. The workspace had no data-provider accounts of its own connected.

Claude prompt

Use hyreflow to find 10 senior data engineers in Leeds with at least 5 years' experience, then find a personal email for each of them.

What comes back

Ten profiles with current title, employer, location and LinkedIn link, and a personal email for 9 of the 10.

Credits

Cost
$3.47 at $0.10 a credit
Time
About 2 minutes

The search returned 10 profiles for 0.5 credits. Seven held senior data or analytics engineering titles; three were adjacent roles, such as a senior AI software engineer, that a recruiter would screen. LeadMagic and Wiza, first in the email chain, found nothing and charged nothing. FullEnrich, third, found 9 personal emails at 3.8 credits each.

Dollar figures use the $0.10 reference price per credit; on a plan a credit costs slightly less. Every step ran on hyreflow credits, with no own provider accounts connected.

At that rate, Starter's 500 monthly credits pay for about 14 such lists and Essential's 2,000 for about 57 (hyreflow pricing, 30 Oct 2026). Most searches charge for the people and emails they return, and some methods also charge per call (credits and billing).

What the stack costs with hyreflow in place of the contact-data line#

hyreflow charges per workspace with unlimited users, so its price is the same for 1, 3 or 5 recruiters (30 Oct 2026). Apollo Basic is priced per seat, so the gap grows with each hire.

Stack on 30 Oct 2026, monthly billing (annual in brackets)1 recruiter3 recruiters5 recruiters
Stack from the first table, with Apollo Basic$383 ($306)$771 ($628)$1,239 ($1,010)
With hyreflow Starter, $49 a month for 500 credits$367 ($301)$625 ($525)$963 ($809)
With hyreflow Essential, $189 a month for 2,000 credits$507 ($427)$765 ($651)$1,103 ($935)

The two lines are not like for like. Apollo Basic also includes sequences and a US dialer, and its credits are a different unit from hyreflow's. For a solo recruiter, hyreflow Essential costs more than an Apollo seat. It adds the option to use your own data-provider accounts, and LinkedIn network sourcing (plans, 30 Oct 2026).

If search was the only reason for a Recruiter Lite seat, dropping it saves that seat's price. LinkedIn does not publish that price on its public page, and InMail goes with the seat.

How hyreflow compares with other AI sourcing tools is on the comparison hub. Tools that run alongside it in Claude are listed in recruiting tools that work with Claude.

How do in-house talent teams' software stacks differ from an agency's?#

An in-house talent team runs a shorter stack: its ATS, such as Ashby, Lever, SmartRecruiters, Recruitee or Breezy, plus sourcing and contact data. It has no clients, so it needs no business development tools and no client CRM.

Smaller employers use less recruitment technology overall. In CIPD's 2026 survey of 1,014 UK HR professionals, 53% of SMEs used none of the recruitment technologies listed, against 10% of larger organisations. It found 80% of SMEs used no AI or machine learning in recruitment, against 38% of larger ones (CIPD, Sep 2026). Those figures describe employers, not agencies, and say nothing about hyreflow.

For an in-house team, hyreflow covers the same two lines: candidate search with contact details, and writing the results into the ATS.

Questions about agency recruitment software#

Is there anything I'm paying for right now that I can stop paying for?

Usually the contact-data subscription. If hyreflow's credits cover the emails and mobiles you pull each month, that line can go. The CRM, the sequencer and the phone stay.

So I don't have to pay LinkedIn for Recruiter?

Not for search. hyreflow finds people without a Recruiter seat. InMail still needs a LinkedIn licence, so keep a seat if InMail is how you reach people.

If I already have Apollo, why use it through hyreflow?

From the Essential plan (30 Oct 2026) you can connect your own Apollo account, and those calls use no hyreflow credits. The search, the other providers and the CRM update then happen in one conversation in Claude.

Does hyreflow put the people into my CRM automatically?

Yes, once your CRM is connected with your own account. hyreflow shows the list for review by default, and a run can also write straight through.

How much does one personal email cost in hyreflow credits?

It depends on which provider finds it. In the run of 30 Oct 2026 above, each personal email cost 3.8 credits, about $0.38, and every miss cost nothing.
