The short answer

To schedule recruiting tasks in Claude, open Cowork, click Scheduled, create a new task, and give it a prompt and a frequency such as every weekday. With hyreflow connected, each run can search hiring signals, find decision-makers and read your ATS. Good plays to schedule are a morning list of companies hiring in your niche, a watch on target accounts, LinkedIn hiring posts, reply triage and a weekly desk report.

  • Claude's scheduled tasks run on Pro, Max, Team and Enterprise plans, hourly, daily, on weekdays or weekly.
  • A scheduled run cannot ask you questions, so the prompt has to settle every choice up front.
  • Every run that calls hyreflow spends credits. Run each prompt once by hand and note the cost before you schedule it.
  • Have the run deliver a list or staged drafts, then decide yourself what goes out.

What are scheduled tasks in Claude?#

A scheduled task is a prompt Claude runs for you on a fixed cadence. You write it once, pick how often it runs, and Claude starts a fresh session each time and leaves the result for you to review.

Anthropic's help centre lists the cadences as hourly, daily, on weekdays or weekly, and says scheduled tasks are available on all paid plans: Pro, Max, Team and Enterprise. Tasks run remotely, so they "run on their cadence even when your computer is asleep". The exception is a task that needs files or apps on your own machine, which only runs locally.

For recruiters, that changes when the work happens. The sourcing and business development that usually waits until 9pm can run at 7am, and the list is ready before your first call.

What do you need before you schedule a recruiting task?#

You need three things: a paid Claude plan with Cowork, hyreflow added as a connector, and credits in your hyreflow workspace.

  • Claude with Cowork. Scheduled tasks live in Cowork on Claude Desktop. Team and Enterprise admins can switch Cowork on or off for the organisation.
  • hyreflow connected. hyreflow is added to Claude as a custom connector, and scheduled tasks use "any connectors and plugins you've set up in Cowork". The setup is in How to source candidates with Claude.
  • Credits. Claude scheduling is part of your Claude plan. The hyreflow calls each run makes are charged in hyreflow credits, every time the task runs.

If a play reads your ATS, CRM or sequencer, connect that tool in your hyreflow workspace first.

How do you set up a scheduled task in Claude?#

There are two ways in, and both end with the same saved task. In the newer version of Claude, where Cowork has no separate tab, you can also describe the task and how often it should run in any conversation, then confirm the schedule Claude proposes.

  1. Open the Scheduled page

In Cowork, click Scheduled in the left sidebar, then New task.

  2. Let Claude draft it, or write it yourself

Choose Create with Claude to describe the task and answer a few questions, or Set up manually to enter a name, the prompt, an approval mode and a frequency. You can also type /schedule inside any Cowork task.

  3. Paste a prompt that settles every choice

A scheduled run has nobody to ask. Put the market, the filters, the list size and what to leave out in the prompt itself.

  4. Pick the cadence and save

Weekdays for a morning list, weekly for a sweep or a report. The task then appears on the Scheduled page with its upcoming and past runs.

Which recruiting tasks are worth scheduling?#

The plays worth scheduling are the ones you would do every day or every week if you had the time, where the inputs stay the same and only the market changes. Here are five, each built on a hyreflow playbook.

PlayCadenceWhat you get
Companies hiring in your nicheWeekdays, 7amA short list of companies to call today, with the decision-maker
Target account watchWeekdays or weeklyNew roles at the accounts you already chase
LinkedIn hiring postsWeekly, MondayManagers announcing roles before the job ad
Reply triageDaily, middayCampaign replies sorted, the hot ones on top

Play 1: Find companies hiring in your niche every morning#

This is the business development list most agency recruiters wish was waiting for them at the start of the day. Every weekday morning, the task sweeps live job ads in your specialism, drops other agencies, and finds the person who owns each hire.

Claude prompt

Use hyreflow and find up to 10 companies that posted new Senior Controls Engineer or Automation Engineer roles in the UK Midlands in the last 3 days. Direct employers only, no agencies. Leave out any company in the lists you saved in my hyreflow workspace in the last 14 days. For each company, give me the role, the date it was first seen, the hiring manager or head of engineering with a work email, and one line on why to call today. Save the list in my workspace. Do not contact anyone.

What comes back

A ranked list of up to ten companies with the role, when it appeared, the likely hiring manager with a verified work email, and a reason to call. Companies you saw in the last two weeks are left out, so the list is new every morning.

Cadence: weekdays at 7am. The full prompt, each step and what it costs are on the who is hiring right now playbook. If you want funding rounds and new leaders in the same brief, the daily BD brief playbook combines all three signals.

Play 2: Watch your target accounts for new roles#

Most desks have a list of 30 to 100 accounts they want to win. This task checks only those accounts and tells you when one of them opens a role you recruit, which is the moment a cold approach stops being cold.

Claude prompt

Use hyreflow and check these target accounts for roles in finance and accounting first seen in the last 7 days: [paste the list of company domains, or name the list in my CRM]. Leave out any role in the lists you saved in my hyreflow workspace. For each new role, find the person who owns the hire with a verified work email and draft a short note that refers to the role. If no account has a new role, say so in one line. Save the list of roles in my workspace. Stage the drafts, do not send.

What comes back

Every new role at your accounts since the last run, the hiring manager behind each one with a work email, and a draft note per role for you to edit. On a quiet day, a single line saying nothing changed.

Cadence: weekdays for a short, high-value list, weekly for a longer one. See the target account watch playbook.

Play 3: Catch LinkedIn hiring posts before the job ad#

Hiring managers often announce a role in a LinkedIn post days before the advert goes live, and some roles never become an advert at all. A weekly sweep finds those posts in your discipline and removes the ones written by recruiters.

Claude prompt

Use hyreflow and find LinkedIn posts from the past 7 days in which a hiring manager announces an open role in data engineering in Germany, Austria or Switzerland. Remove posts written by recruiters, agencies or talent acquisition. For each post, give me the manager, their company, a link to the post, a verified work email, and a two-line opener that refers to the post without quoting it. Stage the openers, do not send.

What comes back

This week's hiring posts in your discipline from the managers themselves, each with the author, the company, a work email and a short opener you can edit.

Cadence: weekly, Monday at 8am. See the LinkedIn hiring posts playbook.

Play 4: Triage campaign replies once a day#

When a campaign is running, replies arrive faster than anyone reads them, and the interested ones get answered a day late. A midday task reads the replies from your sequencer, sorts them, and puts the people who need you today at the top.

Claude prompt

Use hyreflow and read every reply to my active lemlist campaigns from the last 24 hours, or since Friday midday on a Monday if this task runs on weekdays only. Sort each one into interested, not now, referral, wrong person, unsubscribe or out of office. Put the interested replies and referrals at the top with a suggested answer drafted for each. List the unsubscribes so I can check they are suppressed. Do not reply to anyone.

What comes back

The day's replies in six groups, with the ones that need a person today at the top and a draft answer for each. Nobody gets a reply until you send it.

Cadence: daily at 12pm, or on weekdays. The playbook covers lemlist and HeyReach and can log the outcome to your ATS: reply triage playbook.

Play 5: Get a Monday desk report from your ATS#

A desk report tells you where every live job stands without clicking through records. The task reads your ATS directly and lists what moved last week, which jobs have gone quiet, and who needs a chase.

Claude prompt

Use hyreflow and read my live jobs in my ATS. Give me a one-page report for last week: each live job with the number of candidates at each stage, what moved since last Monday, the jobs with no recorded change in 7 days, and a chase list of candidates and clients waiting on me. If my ATS does not record something, say so instead of guessing.

What comes back

A short report on your desk: live jobs by stage, last week's movement, the jobs that have stalled, and a chase list. Anything your ATS does not let it see is named, not filled in.

Cadence: weekly, Monday at 7am. See the weekly desk report playbook.

How do you write a prompt that runs without you?#

A scheduled prompt has to work on a morning you are not watching. Four habits make the difference.

  • Settle every choice in the prompt. Market, roles, list size and exclusions. If Claude would normally ask, answer the question in advance.
  • Say what to leave out. "Leave out companies from the last 14 days" keeps a daily list from repeating itself. Each run is its own session, so point it at the lists saved in your hyreflow workspace or your CRM, not at a previous chat.
  • Cap the size. "Up to 10 companies" keeps the cost and the reading time predictable.
  • Say what the run must not do. End with "stage, do not send" or "do not contact anyone" so the output is something you review.

Should you use a Claude scheduled task or a hyreflow workflow?#

Use a Claude scheduled task while the play is still changing, and a hyreflow workflow once it is fixed. Both run on a schedule; they differ in where the run happens and how much it can vary.

A sensible path is to start in Claude, tune the prompt for a week or two, then ask Claude to save the settled version as a hyreflow workflow on a schedule. The daily BD brief playbook is written that way.

Questions recruiters ask about scheduling in Claude#

Does my computer need to be on for a scheduled task to run?

No, for these plays. Anthropic says scheduled tasks run remotely, so they run even when your computer is asleep. Only a task that needs local files or apps runs on your own machine.

Which Claude plans include scheduled tasks?

All paid plans: Pro, Max, Team and Enterprise. On Team and Enterprise an admin controls whether Cowork is switched on.

Will a scheduled task send emails on my behalf?

Only if you tell it to. The prompts in this guide end with "stage, do not send", so drafts wait in your sequencer or your workspace for you to review. hyreflow stages outreach; your own sequencer does the sending.

How do I stop a daily list repeating the same companies?

Tell the prompt to leave out anything it found in the last 14 days and to check the lists saved in your hyreflow workspace. Each scheduled run is a new session, so it cannot remember the last chat on its own.

Can I run the task right now instead of waiting for the schedule?

Yes. On the Scheduled page you can run any task on demand, and edit its prompt or cadence at any time.
